03

How delivery works.

Property matters often involve several people, documents and practical arrangements. Delivery therefore follows a simple coordination process.

01

Enquiry

The property matter, request or service requirement is received.

02

Review

Available information is reviewed and any necessary clarification is identified.

03

Arrange

Relevant appointments, communications, documents or contractors are coordinated where required.

04

Deliver

The agreed service activity is carried out within the applicable scope and practical timeframe.

05

Follow up

Relevant updates, records or completion information are provided where appropriate.

The delivery period generally begins once the required information, access arrangements and other necessary details have been received and the relevant matter is ready to proceed. If clarification or additional information is required, the delivery period may need to be adjusted accordingly.
04

Information & cooperation.

Effective property management depends on accurate information and reasonable cooperation from the people involved in the matter.

Information that may be required

  • Property address and relevant property details.
  • Description of the enquiry, issue or requested service.
  • Relevant tenancy, occupancy or management information.
  • Access arrangements where an inspection or contractor visit is required.
  • Existing correspondence, documents or photographs where relevant.
  • Contact details for relevant tenants, owners, contractors or representatives.

Cooperation may include

  • Providing accurate and reasonably complete information.
  • Responding to reasonable clarification requests.
  • Providing access at agreed times where access is required.
  • Informing us promptly of changes affecting the property matter.
  • Following reasonable appointment or communication arrangements.
  • Confirming when a matter has been resolved where confirmation is requested.

When timing needs to change.

Property work can be affected by matters outside the immediate control of WIKA PALACE LTD. These may include contractor availability, access restrictions, parts or materials, technical assessments, weather, property conditions, third-party responses or the need for additional information. Where a material delay becomes apparent, relevant parties will be informed where reasonably practicable and the matter will be progressed as soon as reasonably possible.

06

Maintenance & contractors.

Maintenance coordination is an administrative and operational function. The timing and outcome of third-party work may depend on the contractor and the technical requirements of the property.

Assessment

Initial information

Reported maintenance issues may be reviewed based on the information available. Additional photographs, descriptions or access details may be requested where useful.

Coordination

Appointment arrangements

Where contractor attendance is required, appointment and access arrangements may be coordinated with the relevant parties.

Third parties

External contractor timing

Contractor availability, technical assessment and completion timing are not necessarily controlled by WIKA PALACE LTD.

Follow-up

Progress information

Where appropriate, relevant parties may receive appointment, progress or completion information following contractor activity.

07

What service delivery does not mean.

The service is intended to provide practical property coordination. It does not create guarantees about matters outside the agreed scope.

  • A stated indicative timeframe is not a guarantee of completion on a particular date where third-party action or other external factors apply.
  • Contractor coordination does not mean that WIKA PALACE LTD is the contractor or controls the contractor’s independent working arrangements.
  • A property enquiry or viewing arrangement does not by itself guarantee availability or create a tenancy or occupation agreement.
  • Services are delivered within the agreed scope and do not automatically include additional work that has not been requested or agreed.
  • Nothing in this policy removes or limits rights that cannot lawfully be excluded under applicable law.
08

Records & service information.

Relevant records may be maintained to support property administration, communication, service coordination and ongoing operational matters.

Records

Property information

Relevant property, tenancy, occupancy, maintenance and contractor information may be retained where necessary for the service.

Communication

Service updates

Email correspondence, appointment information and relevant communications may be retained to maintain an accurate service history.

Privacy

Information handling

Personal information is handled in accordance with the WIKA PALACE LTD Privacy Policy and applicable data protection requirements.

Review

Ongoing matters

Where a property matter remains active, relevant records may be maintained for as long as reasonably necessary for administration, continuity and legal or contractual purposes.

09

Service delivery operates alongside the other policies published by WIKA PALACE LTD.

Changes to service arrangements

If the scope of a property matter changes materially, the parties may need to confirm the revised requirements, information or practical arrangements before additional work proceeds. Where a separate written agreement applies, its terms will also be considered subject to any rights and obligations that apply by law.

Nothing in this policy is intended to replace a specific tenancy, licence, property management arrangement, contractor agreement or other separate legal agreement where one applies.
