This policy explains how WIKA PALACE LTD delivers property administration, letting-related assistance, maintenance coordination, contractor liaison and ongoing property management services.
Services are delivered according to the agreed scope, the information available at the time and the practical requirements of the relevant property matter.
The policy applies to property-related services concerning residential premises, flats, apartment buildings, commercial premises and mixed-use property where relevant to the agreed service.
Delivery may include administration, tenant communication, maintenance coordination, contractor liaison, letting enquiries and routine property operations.
Where a matter requires specific work, the relevant scope, information requirements and practical arrangements will be established before delivery begins.
Service information may be provided by email, telephone, appointment confirmation, written updates, administrative records or other suitable communication methods.
The following timings are operational guidelines rather than guaranteed completion dates. The actual period may depend on the nature of the matter, access, third-party availability and the information required.
Property records, routine correspondence, tenancy or occupancy information, maintenance records, contractor details, document administration and related follow-up may be coordinated as part of the agreed property administration scope.
Communication may include routine property updates, maintenance information, access arrangements, appointment confirmations and follow-up concerning day-to-day property matters.
We may receive maintenance information, establish the basic scope of the issue, liaise with an appropriate contractor, coordinate access and appointments, communicate progress and record completion where applicable.
Contractor liaison may include communicating job information, arranging access, confirming appointments, passing on relevant property details and following up on outstanding work.
Ongoing coordination may cover property administration, tenant matters, letting-related enquiries, maintenance, contractors, records and routine operational follow-up.
Property enquiries may include initial information requests, availability enquiries, viewing arrangements where applicable, appointment coordination and follow-up communication.
Property matters often involve several people, documents and practical arrangements. Delivery therefore follows a simple coordination process.
The property matter, request or service requirement is received.
Available information is reviewed and any necessary clarification is identified.
Relevant appointments, communications, documents or contractors are coordinated where required.
The agreed service activity is carried out within the applicable scope and practical timeframe.
Relevant updates, records or completion information are provided where appropriate.
Effective property management depends on accurate information and reasonable cooperation from the people involved in the matter.
Property work can be affected by matters outside the immediate control of WIKA PALACE LTD. These may include contractor availability, access restrictions, parts or materials, technical assessments, weather, property conditions, third-party responses or the need for additional information. Where a material delay becomes apparent, relevant parties will be informed where reasonably practicable and the matter will be progressed as soon as reasonably possible.
Maintenance coordination is an administrative and operational function. The timing and outcome of third-party work may depend on the contractor and the technical requirements of the property.
Reported maintenance issues may be reviewed based on the information available. Additional photographs, descriptions or access details may be requested where useful.
Where contractor attendance is required, appointment and access arrangements may be coordinated with the relevant parties.
Contractor availability, technical assessment and completion timing are not necessarily controlled by WIKA PALACE LTD.
Where appropriate, relevant parties may receive appointment, progress or completion information following contractor activity.
The service is intended to provide practical property coordination. It does not create guarantees about matters outside the agreed scope.
Relevant records may be maintained to support property administration, communication, service coordination and ongoing operational matters.
Relevant property, tenancy, occupancy, maintenance and contractor information may be retained where necessary for the service.
Email correspondence, appointment information and relevant communications may be retained to maintain an accurate service history.
Personal information is handled in accordance with the WIKA PALACE LTD Privacy Policy and applicable data protection requirements.
Where a property matter remains active, relevant records may be maintained for as long as reasonably necessary for administration, continuity and legal or contractual purposes.
Service delivery operates alongside the other policies published by WIKA PALACE LTD.
If the scope of a property matter changes materially, the parties may need to confirm the revised requirements, information or practical arrangements before additional work proceeds. Where a separate written agreement applies, its terms will also be considered subject to any rights and obligations that apply by law.
Nothing in this policy is intended to replace a specific tenancy, licence, property management arrangement, contractor agreement or other separate legal agreement where one applies.
For property enquiries, letting matters, administration, maintenance coordination or general property management enquiries, contact WIKA PALACE LTD and provide enough information for the matter to be understood and directed appropriately.
